What Is Form W-2?
To be used by employees on their income tax returns, Form W-2 gives them the information on their income and withholding. It also provides similar information to both the IRS (and the Social Security Administration (SSA)).
It must be filled for all workers whose income, Social Security, or Medicare taxes were withheld over the period of the calendar year. Workers who claim to be exempt from withholding on their W-4 forms, which they must have provided to their employers prior to the time for hiring are not exempt.

How to file forms W-2
Forms for W-2 and a W-3 form must be sent to SSA by Jan 31st of the next year. The deadline for distributing W-2 forms to employees is also Jan. 31. The form W-3 transmits information to the SSA. It adds all the information on W-2 forms into one total.
