What exactly is Form W-2?
Form W-2 is used to provide information on income and withholding to employees in order to fill out their tax returns for income and provides similar information to the IRS and the Social Security Administration (SSA).
The form must be filled out for each worker whose income, Social Security and Medicare taxes were withheld in the year. Employees who claim to be exempted from withholding on W-4 forms that they should have submitted to their employers at the time for hiring are exempt.
Who Uses Form W-2?

If you wish to provide income information to these individuals, you should use Form 1099–MISC. If you have paid $600 or more to them in the past year, the majority of non-employees would require a 1099MISC form.

You can get W-2 forms at the local office supply shop, or from your CPA or access them online through the IRS. You can also get W-2 forms from most business tax preparation programs.
How to File Forms W-2
Forms for W-2 and a W-3 form must be sent to SSA on or before January 31st of the following year. January. 31 is also the deadline for the W-2 forms to be distributed to employees. The W-3 form is a transmittal document used to combine all information from individual W-2 forms into a total which can then be utilized by the SSA.
